Meeting Minutes for NIMBA Monthly Meeting

August 9, 2010

Race update:

We had 60 racers at Imagination Glen. The race was really good other than some glitches with the timing and that will be addressed with chip timing at Bluhm.

Needs-the races are becoming bigger and require a lot of work, I need some help. Here are the areas where I need help:

  1. Volunteer coordinator for race day, these are the volunteers that are on the trail making sure that crossings are covered and we have the right staffing during the race at the critical points.

  2. Organize Heed, water, hot dogs, grill items and bananas on race day. Buy them, bring them and do it.

  3. Registration-it would be great to have the same 2-3 people each time if possible, training is minimum and it goes much smoother.

  4. Set up start and finish line on race day.

  5. Set up course on Friday night or Saturday before race.

  6. Podium set up, hang Hammer and sponsor banners.

  7. Stuff Hammer bags with race goodies.

  8. Chip collector at finish line.

  9. Organize swag with sponsor.

  10. Organize and lay out medals in order of presentation.

  11. Start time recorder at start line.

  12. Announcer.

  13. Teardown and cleanup.

Finance update

Memberships are up to about 80 now.

Checking account balance is near $3000.00.

Other updates

Update on Bendix Woods-construction has started (clearing trees), and we will be scheduling a workday on Saturday, August 28th. We have about a ¼ mile cut so far, it really looks great.

Trail maintenance-we need some solutions for trail maintenance; we have really great turnouts in the spring but struggle with ongoing maintenance in the summer. PC needs some major trimming right now, all the heat and humidity has made this job even harder. Perhaps assigning volunteers by the mile? Trail? For a given time frame? Can we get a few volunteers to form a team to work on this, we can implement some kind of incentive program like PayDirt if we want to. We just need more people helping. Who is willing to lead this and bring a recommendation to the club?

We have the funds to buy some nice power equipment to make this job easier. We need to buy the right thing and be sure those who will be using it are happy with it. I would like to form a small group to take a look at potential equipment and make a recommendation for the club. We need some kind of power trimmer and a new chainsaw. Jason, John and Ed agreed to so some research to see what we could get. We may rent something first.

Anyone going to Brown County in the next few weeks? We have 6 rhino’s to pick up. We ordered them through HMBA.

We will be hosting a Senior Olympics (50+) mountain bike race event on Saturday, August 14th at 10:00 AM. It will be near Reith Nature Center in Goshen. We need about 4-5 volunteers to help us run this.

We are working with Spin Zone on one Cyclocross race this fall, most likely in October. We originally thought about doing 2, but resources are so constrained, we cannot.

Be sure and record ALL work hours, send to James each month. Very important!! James sends a report every month to the Property Managers at each trail at the beginning of each month.
